Organize roles in teams
Build the team hierarchy and file each role under it.
All the steps presented below can be autonomously handled through your AI agent (Claude Desktop) and executed for you. See Author with AI.
Shape the team tree your roles are filed under, up to ten levels deep. See Role for what a team is.
Anyone can see the tree and file a role under an existing leaf team. Adding, renaming or deleting a unit needs the workspace's admin permission for it.
Open Organization
On Roles, open More actions and choose Organization. A panel slides in with the current tree.
Add a unit
Click Add Unit, or the + on an existing unit to add a child under it. Pick a color and a name, then confirm.
A unit that already holds roles cannot take child units: move its roles out first. A unit is a leaf, and can hold roles, only while it has no children.
Edit or delete a unit
Use the pencil icon to rename or recolor a unit. Use the trash icon to delete one. A unit that is still in use is refused, and the panel names every blocker:
- Child units: delete or move them first.
- Roles published here: move or delete them first.
- Roles here whose unpublished draft moves them to another team: publish them first.
- Roles whose unpublished draft moves them into this team: re-point or discard that draft first. If someone else holds it, take the draft over on the role's page.
- This is the only unit in the workspace: create another one first.
A unit can be blocked while it looks empty: a draft moving a role in counts from the moment it is saved, even though the role stays published in its old team until someone publishes it.
Unless the block is child units or the workspace's only remaining unit, the panel also offers Replace and delete: pick another leaf team from the list, and every role published here, plus every unpublished draft pointing here, moves to that team before this one is deleted. That includes a draft someone else is editing, which moves without asking them. They see the new team next time they open the role.
File a role under a team
This happens on the role, not in this panel. On Roles, a team starts folded: click its chevron to show its roles (a search that matches a role opens its team for you), then Add a Role to that team to create a role in it, or change an existing role's Team on its page.
Check it worked
The new or renamed unit appears in the tree, and in the Team choices on a role's page.
